Swimatics ("Swimatics," "we," "us," or "our") is a trade name (DBA) of Eryk Elizondo, a sole proprietorship operating in the State of Florida. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
Account information. When you sign in with Google, we receive your name, email address, and profile information as provided by Google. We do not receive or store your Google password.
Team and roster information. Coaches, admins, and parents may input information about swimmers, including first and last name, birthdate (used to determine age-based eligibility, such as the 13+ requirement for athlete self-registration), group/team assignment, and attendance records.
Meet and performance information. Meet entries, event assignments, and swim times entered by coaches or parents.
Communications. Messages sent between coaches, staff, and families through the Service, and broadcast announcements.
Payment information. Subscription payments are processed by Stripe, our payment processor. We do not receive, store, or have access to your full credit card number. We do receive limited billing information from Stripe necessary to manage your subscription, such as your subscription status and plan.
Device and usage information. If you enable push notifications, we store a device-specific subscription token to deliver notifications. We do not use this to track your location or activity outside the Service.
We use the information we collect to:
We do not sell personal information to third parties, and we do not use swimmer data for advertising purposes.
Swimatics is used by swim teams that include minors. Here's specifically how that's handled:
Children under 13. We do not knowingly collect personal information directly from children under 13. All information about swimmers under 13 is provided and controlled by their parent or guardian through a parent account. If we become aware that a child under 13 has created their own account in violation of this policy, we will take steps to remove that account and associated data.
Athletes 13 and older. A swimmer who is 13 or older may, with a birthdate already on file, create their own individual account to view their own schedule and workouts. Athlete accounts cannot message a coach privately — any message from an athlete account automatically includes their linked parent(s).
Parental access. A parent or guardian who has linked a swimmer to their account can view that swimmer's attendance, meet entries, and related information at any time.
Information within a team's Vault is visible according to role:
We retain your team's data for as long as your subscription is active.
If a subscription is canceled — during the free trial or afterward — access to the Service ends immediately, and the associated team's data is automatically and permanently deleted 7 days after cancellation if the subscription is not renewed within that window. This deletion is irreversible.
If you'd like your data removed sooner than this automatic schedule, currently the only way to do so is by canceling your subscription, which starts the same 7-day countdown described above. We do not currently offer an expedited manual deletion process.
We take reasonable technical measures to protect your information, including encrypted connections and access controls that restrict data to authorized roles within your team. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
We use the following third-party services to operate Swimatics:
These providers process data on our behalf and are contractually and/or technically restricted from using it for their own purposes.
We may update this Privacy Policy from time to time. Material changes will be communicated through the Service before they take effect.
